Welcome to Office of the University Registrar

In support of the University’s mission, the Office of the University Registrar (OUR) is accountable to the Academic Affairs Vice President and dedicated primarily to the services of registration procedures, academic accreditation, record keeping, maintenance of academic records, grade report processing, issuance of transcripts, Document/degree verifications and reporting as well as assisting other administrative offices in their services.  The OUR is also responsible for students’ degree accreditation, Issuance of English Language proficiency, Academic calendar preparation, management of the Student Record Management System(SRS), and ordering original and tempo diplomas for graduates. It also assists and acts as a Secretariat to the University Senate meetings. 

 The OUR will continuously strive to provide better services by developing additional online services and applications and improving its existing system. Currently, the OUR is composed of the Office of the College Registrar, Cost-sharing Section, Admission and Registration Section, Alumni Affairs Section, and Students Statistics and Record Section.

The primary Duties of the University Registrar Office:

  • Coordinates the OUR routine tasks, including the student Record Management System(SRS), registration, admission, grading, degree and enrollment verification, academic records management, transcripts, application processing, and graduation auditing, and awarding of degrees.
  • Organizes and disseminates up-to-date data on student enrolment, admissions, withdrawals, attrition/completion, dropouts ,and graduates.
  • Student intake, Student Promotion and readmission are other functional areas for which OUR is responsible.
  • Process and administers Student Program Placement
  • Prepares Academic Calendar for undergraduate and graduate programs each year and submits the same to the Senate for approval, and distributes to all academic units timely.
  • Organizes and processes Senate List of Students and requests to the University Senate for graduation approval and eligible for the award of degrees, diplomas and certificates. 
  • Facilitates and processes tempo Degree, tempo Diploma, Original Diploma, Student Copy, transcript, certification issuance, and other academic credentials for students and alumni/graduates.
  • Provide support for determining academic eligibility and academic progress.
  • Degree Verification/Authentication : Officially respond to requests for information about students and programs for the organizations.
  • SRS management that enables the OUR to collect, process and disseminate information and data on undergraduate and graduate programs, student populations, and student activities;
  • Prepares and issues identification cards, attesting to the admission status of students.
